- To prepare and modify independently documents including correspondence, reports, drafts, emails and memos for the Managing Director
- To manage the calendar of MD, to make appointments and to prepare independently the relevant documents for the corresponding meetings;
- To participate in meetings together with the MD in order to take notes , to prepare the minutes of meeting to distribute them
- To assist with clerical, secretarial, and miscellaneous administrative duties needed, including typing, word processing, data entry, phone answering, copying, collating, mail distribution/pickup, errand filing recording, paperwork processing.
- To schedule travel arrangement for MD and to be in charge of the travel expenses reimbursements afterwards
- To take care of internal and external visitors
- To organize and to order office supplies and other work-related equipment for the MD and for the assigned team
- To be responsible for the different topics within the assigned area (e.g. projects, independent, execution of a functional area,..) including the necessary communication to internal and external clients, clarification of all concerns of the different involved parties, preparation of documents, presentations, statistics, etc.
Your Profile You contribute
- Bachelor's degree in Business Administration, Management, Human Resources, Finance, or a related field.
- Minimum of 2 years of experience in executive assistance, office administration, or a similar support role.
- Strong organizational and time management skills, with the ability to handle multiple priorities and deadlines.
- Excellent written and verbal communication skills in English.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and other business systems.
- High level of professionalism, discretion, and ability to maintain confidentiality.
- Strong interpersonal skills with the ability to work effectively with all levels of management and external stakeholders.
- Ability to prepare reports, presentations, meeting minutes, and business correspondence.
- Detail-oriented, proactive, and capable of working independently with minimal supervision.
- Experience in coordinating travel arrangements, meetings, events, and executive calendars is an advantage.
- Familiarity with SAP, SuccessFactors, or other ERP/HR systems is a plus.
